General Rules

1. Eligible third countries not associated to the Programme in the 2023-2026 edition:

  • Albania
  • Armenia
  • Azerbaijan
  • Bosnia and Herzegovina
  • China
  • Georgia
  • Israel
  • Japan
  • Canada

2. Interinstitutional Agreement in ERASMUS+ KA171 Programme

  • The exchange of students/doctoral students of the AGH University of Krakow must be preceded by signing an interinstitutional agreement between AGH University and the host university.
  • Partner universities participating in the project must have an Organization ID (OID), entitling them to participate in the Programme.
  • A list of all eligible countries in the current edition of the Programme is published on the website.
  • Based on the above interinstitutional agreements, AGH University students/doctoral students may go to study at a partner university.
  • The period of mobility of the AGH University student/doctoral student for studies under the ERASMUS+ KA171 Programme at the Partner University must begin and end during the project implementation period from April 01, 2024 to July 31, 2026.
  • Students/doctoral students may carry out a mobility as part of ERASMUS+ KA171: for part of the studies at the partner university - for a period of 5 months.
  • The total duration of the mobility period, including participation in previous activities under the Erasmus+ programs (so-called "mobility capital") cannot exceed 12 months within a given cycle of studies.  

3. Recruitment of Students/PhD Students - Erasmus+ KA171 Programme

Selection of candidates:

a) Selection of students/doctoral students should be carried out in two stages taking into account the terms of interinstitutional agreements.

b) The following selection criteria are taken into account during recruitment:

A Student applying for a scholarship under Erasmus+ KA171 should submit the following documents to the Centre for International Affairs by the deadline specified in the recruitment announcement for the project:

  • certificate of average (weighted) grades for all years of studies issued by the Faculty
  • certificate of language proficiency/knowledge of foreign languages at B2 level or above
  • a cover letter in English containing the justification for the mobility and the candidate's motivation letter
  • certificate confirming student status
  • certificates confirming scientific activity (presentations at conferences, publication of scientific articles, activities in a research club) – additional criterion

A Doctoral Student applying for a scholarship under Erasmus+ KA171 should submit the following documents to the Centre for International Affairs by the deadline specified in the recruitment announcement for the project:

  • copies of the diploma with a result of at least "good" and a supplement of the master's degree diploma
  • a certificate confirming scientific achievements (publication of articles, presentations at conferences, etc.)
  • certificate of knowledge of foreign language(s) at B2 level or above
  • reference letter from the supervisor or other researcher
  • a cover letter in English containing an explanation for the mobility in the context of scientific research or the topic of the prepared doctoral dissertation
  • certificate confirming doctoral student status.

c) The initial verification of candidates is carried out by the Dean of the Faculty/Director of the Doctoral School together with the AGH Coordinator for Cooperation with a given partner country.

d) The final list of persons qualified for the mobility is announced by the Recruitment Committee, chaired by the Vice-Rector for Cooperation and the Coordinators for Cooperation with eligible partner countries.

  • Students are assessed based on the following criteria: weighted average grade from all years of study, documented knowledge of English and/or the language of instruction at the Partner University, proof of scientific achievements or additional activities, the candidate's motivation letter.
  • Doctoral students are assessed based on the following criteria: documented scientific achievements, documented knowledge of English and/or the language of instruction of the Partner University, and the candidate's motivation letter.

e) When participating in mobility for studying under the Erasmus+ KA171 Programme, a student/doctoral student cannot be on Sabbatical and must have completed all previous courses.

f) At the time of departure, the student/doctoral student must have the status of an AGH University student/doctoral student.

g) At the time of departure, the student must have completed the first year of first-cycle studies. A student may participate in recruitment at the first year of studies after obtaining registration for the second semester. The mobility will be possible after obtaining the registration for the second year of the first-cycle studies.

h) After the meeting of the Recruitment Committee, a recruitment protocol will be prepared along with a list of qualified, reserved, and unqualified persons. All candidates will be notified about the selection results by an e-mail to the address provided in the application form.

i) The student/doctoral student has the right to appeal against the decision of the Recruitment Committee to the Vice-Rector for Cooperation within seven business days from the date of receipt of the decision of the Recruitment Committee. The appeal should be submitted to the International Contracts and Projects Office of the Centre for International Affairs. The student/doctoral student will be informed about the decision of the Vice-Rector for Cooperation by the Section of International Contracts and Projects Office of the Centre for International Affairs. The Vice-Rector's decision is final.

4. Resignation from the Mobility

a) In the event of the resignation of a student/doctoral student (who was awarded a scholarship), the next person from the reserve list will be considered. This person is entitled to a scholarship according to the financial conditions adopted in a given edition of the Programme.

b) A student/doctoral student who has resigned from the mobility is obliged to submit a written resignation with an explanation addressed to the Coordinator for cooperation with a given partner country then it should be submitted to the Centre for International Affairs (H-A2, room number 4). The resignation is signed in advance by the Dean of the Faculty/Director of Doctoral School.

c) It is recommended, except in extraordinary circumstances, to submit the resignation one month before the planned departure.

5. Rules for Payment of Funds for Student/Doctoral Students

a) Scholarships awarded under the Erasmus+ KA171 Programme are complementary - they are intended to co-finance additional costs related to mobility and stay in the receiving institution.

b) While receiving an Erasmus+ scholarship, a student/doctoral student cannot receive another scholarship from the European Union funds.

c) The National Agency of the Erasmus+ Programme determines the amount of scholarship. According to the information published by the National Agency of the Erasmus+ Programme, the monthly rate of the Erasmus+ KA171 scholarship is:

Green travel
Travel using low-carbon means of transportation such as bus, train or carpooling.
(1)    Students/doctoral students applying for a lump sum for travel costs resulting from the entire travel by low-emission means of locomotion (so-called “green travel”) are required to submit a declaration of the planned means of transportation.
(2)    The lump sum mentioned above shall be paid together with the other components of the Erasmus+ grant in accordance with the submitted declaration.
(3)    The declared means of transportation to the place of mobility must be confirmed upon return at the calculation of mobility at the CIA.
•    Persons, traveling by public means of transport (bus, rail) are obliged to provide tickets/bills for the trip at calculation of mobility,
•    The date on the attached bill/ticket must not coincide with the date of the mobility (dates in the financial agreement);
•    Persons traveling together by car (min. 2 persons) are required to submit a statement.
For the GREEN TRAVEL may be granted an additional maximum of two days for travel before the start of mobility and two days after the end of mobility.

If the travel is not confirmed in the above mentioned manner, the amount resulting from the “GREEN TRAVEL” entitlement is deducted from the second installment paid after calculation of mobility.

Additional of individual support for participants with fewer opportunities:

A participant in long-term mobility who meets the criteria included in the definition of "people with fewer opportunities" receives a top-up for individual support of 250 EUR/month in the case of departure or arrival for studies.

The definition of "people with fewer opportunities" includes:

A group of people Additional payment will be granted
People with disabilities Decision on degree of disability.
People from poor families/backgrounds A mobility participant who received a social scholarship in the semester preceding the departure, defined in accordance with the Act of 20 July 2018 - the Law on Higher Education and Science (Journal of Laws of 2021, item 1630, as amended).

6. Conditions of Financing

a) The start date of the mobility period will be the first day on which the student/doctoral student must be present in the host organization (date of the first day of classes)

b) The end date will be the last day on which the student/doctoral student must be present in the host organization (end of the examination session).

c) The final scholarship amount for the entire mobility period will be determined by multiplying the number of months and days resulting from the dates of the doctoral student's stay abroad by the applicable monthly rate for the given host country.

c) In the case of incomplete months, the scholarship amount will be calculated by multiplying the number of days in the incomplete month by 1/30 of this amount.

d) If the confirmed period of stay in the receiving organization is shorter than that specified in the original agreement or an annex to the agreement extending the mobility period, the scholarship amount will be reduced accordingly.

e) If the confirmed period of stay is longer than the funding period agreed with the University, the amount of scholarship will remain the same.

f) The funding cannot be used to cover similar costs already financed from European Community sources.

e) Scholarship under the Erasmus+ KA171 Programme or part of it has to be returned if the student/doctoral student fails to comply with the terms of the agreement. However, the return of the funds will not be required if the student/doctoral student is unable to complete the planned activities abroad due to force majeure. Such cases require written notification by the sending University and are subject to approval by the National Agency of the Erasmus+ Programme.

f) Within 30 days of signing the AGH-student/doctoral student agreement by both parties and completing other formalities, the participant will be paid an advance payment constituting 70% of the scholarship amount.

g) In a situation where a student/Doctoral student does not provide the required documents within the deadline specified by the AGH University, a later payment is exceptionally allowed.

h) After arriving at the Partner University, the student/doctoral student must provide the Centre for International Affairs with a certificate confirming the commencement of education.

i) After completing the mobility, the student/doctoral student is obliged to complete an individual mobility report in the EUSurvey tool. Submitting the survey is a mandatory for obtaining the last installment of the grant (30%).

6. Required Documents Before Mobility Implementation

a) The student/doctoral student is obliged to get familiar with the principles of the Erasmus+ KA171 Programme and the website of the Centre for International Affairs (www.erasmusplus.agh.edu.pl), where information about the Programme and recruitment will be posted and updated.

b) The condition for awarding a scholarship to a student/doctoral student is to successfully complete the recruitment process conducted by the Centre for International Affairs, which includes:

  • Preparation of an agreement on the learning programme so-called the Learning Agreement. On the part of the University/Faculty, this document should be signed by a person authorized to make decisions regarding credits (Dean of the Faculty/ the Director of the Doctoral School).  The agreement must be signed by all three parties before the student/doctoral student's departure.
  • Signing the AGH-student/doctoral student agreement at the Centre for International Affairs (H-A2, room 2) which specifies in detail the terms of the mobility (duration of the mobility at the Partner University, amount of the scholarship, deadline for settllements with AGH University, etc.)
  • The student/doctoral student is obliged to purchase health insurance, civil liability insurance (covering damages caused by the participant at the place of study), and accident insurance for the duration of mobility and travel (covering at least damages incurred by the participant at the place of study) during the mobility and travel period and present it to the Centre for International Affairs before departure.
  • A student who is a Polish citizen is obliged to register on the Odyseusz website, run by the Ministry of Foreign Affairs of the Republic of Poland.

7. Signing the AGH University-Student/Doctoral Student Grant Agreement

After completing all documents relating to a given student/doctoral student, an agreement is drawn up to establish the principles of financing the student/doctoral student's mobility at the Partner University. The agreement specifies in detail the conditions of the mobility (duration of the mobility at the partner university, amount of the scholarship).

8.  Required Documents After Completing the Mobility

  • The period of study abroad under Erasmus+ KA171 is considered an integral part of studies at the home university. Therefore, the exchange must concern the same field the student studies in the country.
  • All subjects agreed in the learning programme on the so-called Learning Agreement should be passed at the home faculty, and the grades obtained from exams at the Partner University should be transcribed according to the applicable grading scale at AGH University.
  • The rules for assigning grades and passing the semester are established by the Dean/Deputy Dean approving the study program at the AGH University.

9. Shortening the Mobility for Studies Within Erasmsus+KA171 Programme

The period of mobility for studies at the Partner University required to receive the scholarship is five months (studies). Shortening the mobility involves returning part of the scholarship, as the scholarship can only be obtained for the period spent at the Partner University (following the agreement signed before departure and the certificate confirming the period of mobility from the host university). Shortening the stay - "force majeure" - if a student/doctoral student abroad has a severe accident or becomes seriously ill, it is possible to shorten the mobility due to the so-called “force majeure”. In such a situation, the student should contact the Centre for International Affairs immediately.

10. Settlement of the Mobility for Studies Within Erasmus+ KA171 Programme

  • All certificates must be obtained from the foreign university at the end of the stay.
  • A certificate containing information that the student/doctoral student has completed studies under the Erasmus+ KA171 program. The document must contain the exact dates of studies, day/month/year - the dates should be consistent with the Learning Agreement dates.
  • The student is obliged to submit the list of grades obtained and/or credits obtained (the so-called Transcript of Records) regarding studies and the document of possible changes to the Original Proposed Study Programme in the Learning Agreement.
  • The student/doctoral student is obliged to complete the online survey in the EUSurvey tool no later than 30 days from the date of completion of mobility. The participant will receive a request to report by an e-mail directly from the platform.
  • After returning from studies abroad, the required documents should first be submitted to the Dean's Office of the Faculty to obtain pass for the period of studies completed abroad under the Erasmus+ KA171 Program. 
  • Copies of all documents should also be left at the Faculty Dean's Office.
  • All subjects agreed in the Learning Agreement should be passed at the home faculty, and the grades obtained at the foreign university should be transcribed in accordance with grading scale applicable at the home University.
  • The rules for assigning grades and completing the semester are established by the Dean who approves the study programme.
  • The student/doctoral student is obliged to report to the Centre for International Affairs with the required documents for financial settlement of the received grant.
  • The grant payment of 30% will be made after the student completes all formalities after returning from studies.
